Privacy Policy

Polaris Estimations prepares construction estimates, quote packages, and print-and-delivery orders for contractors through polarisestimations.com. This policy explains what personal information we collect, why we use it, and the choices you have. It applies to the public website, customer accounts, and the estimating and print services offered there.

1. Who this covers

This policy covers contractors, company administrators, and other people who visit the site, create an account, upload drawings, request an estimate, or place a print order. The service is aimed at businesses in Ontario and the Greater Toronto Area.

2. Information we collect

We collect information you give us and information created while you use the service:

• Account details, such as your name, email address, company, and role. Sign-in is handled by Amazon Cognito. We do not store your password in our application database.
• Project files you upload, including drawings, specifications, and notes needed to prepare an estimate or a print order.
• Estimate, quote, and print-order details, including quantities, pricing, delivery address, and the status of the job.
• Payment status. Stripe handles the cards. Polaris Estimations does not store credit card details. We receive only whether a payment succeeded and a transaction identifier from Stripe.
• Messages you send us, including email to ops@polarisestimations.com.
• Technical information such as browser type, device, IP address, and pages requested, used to operate and protect the site.

3. How we use it

We use this information to create and secure your account, prepare estimates and quote packages, price and fulfill print-and-delivery orders, take payment, send service emails about your account or order, answer questions, and keep the service reliable. We also use it to meet tax, accounting, and legal duties.

We do not sell personal information.

4. Who we share it with

Your drawings and estimates are kept secure and are never shared with anyone else. We do not sell them, and we do not give them to other customers or to outside parties. Polaris staff use them only to prepare the estimate or print order you asked for. If you order printed drawings, the shop that prints that order receives the files needed to print and deliver it, and no one else does.

Other information is shared only as needed to run the service:

• Amazon Web Services, which hosts the website, accounts, and stored files. The application is hosted in Canada (ca-central-1).
• Stripe, which processes payments.
• Print and delivery partners, when you order printed drawings and we need a delivery address and job details to complete the order.
• People inside your company who have access to the same account.
• Advisors or authorities when we must comply with law, or when needed to protect the service, our customers, or the public.

Estimating staff use the drawings and project details you submit in order to produce the work you asked for.

5. How long we keep it

We keep account and project records while your account is active and for as long as we need them to deliver the service, support a quote or order, meet tax and accounting requirements, and resolve disputes. When information is no longer needed for those purposes, we delete it or de-identify it. Copies can remain in backups until those backups expire.

6. Your choices

You can review and update account details in the customer portal. You can ask us to correct personal information, or to delete it where we are not required to keep it. Email ops@polarisestimations.com from the address on the account. We may need to confirm it is you before we act on the request.

You can also contact the Office of the Privacy Commissioner of Canada if you have a concern about how your personal information is handled.

7. Security

All data is encrypted, in transit and at rest. Drawings, estimates, account details, and other information you store with us are kept secure. We also use access controls and hosted account sign-in. No method of storage or transmission is perfectly secure. Use a unique password and limit who can access your company account.

If there is a data breach, Polaris Estimations is not liable and cannot be sued for it. The Terms and Conditions set out that limit.

8. Cookies

The site uses cookies and similar storage that are needed to keep you signed in, remember the session, and protect the account. We do not use those cookies to sell advertising profiles.

9. Changes

If we change this policy, we will post the updated version on this page and change the date above. Continued use of the service after the update means the new policy applies.
